This initiative will be applicable to non-Malaysian citizen employees holding a Visitor’s Pass (Temporary Employment) or an Employment Pass, who will be registered as members hereon.
Effective October 2025, the Employees Provident Fund (EPF) of Malaysia will automatically register non-Malaysian citizen employees holding a Visitor’s Pass (Temporary Employment) or an Employment Pass as EPF members.
This will eliminate the need for manual registration at EPF offices, and streamline the onboarding process for employers and employees alike.
Employers can verify their registration details via i-Akaun (Employer).
For employees holding other types of passes, registration and updates will continue to be available at EPF offices nationwide.
What employers need to know
EPF has outlined six key responsibilities for employers under this new policy:
-
Register as an EPF employer
- Companies not yet registered must do so starting 1 October 2025.
-
Register employees as EPF members
- Employers must ensure all eligible employees are registered and contributions begin from 1 October 2025.
-
Pay contributions
- Both employer and employee must contribute 2% each of the employee’s wages. Payments are due by the 15th of each month, as announced by EPF last week.
-
Maintain payroll records
- Employers must keep accurate payroll records for EPF inspection.
-
Update records
- Employers must update information such as contact details, changes in company name, or company status.
- The EPF must be notified in the event of cessation of business operations or termination of all employees.
-
Guide employees on withdrawals
- Employers should advise employees to apply for the "Leaving the Country Withdrawal" within two months before their work permit expires.
- Employers must ensure all supporting documents for eligible withdrawals are duly verified, complete, and in proper order.
Next steps for employers
Employers involved would have been notified of this new process through notice letters sent beginning 20 September 2025. They are required to schedule an appointment via the URL link provided in the notice letter to register employees who were not successfully registered automatically, as well as to update information and verify thumbprints for employees who have been successfully registered.
For employees who have been successfully registered, employers may proceed with contribution payments using the EPF number provided.
